President
- Is responsible for the overall organization and operations of the alumni organization, including the appointment of other officers and succession planning as stipulated by the constitution.
- Assumes fiscal responsibility for the organization.
- Motivates and mobilizes the leadership team to plan and host programming and events that (a) further the alumni mission and vision, and (b) support professional development, networking, and community-building among alumni.
- Acts as the primary liaison/contact with the Christ the King Catholic College Office of Alumni Relations.
- With the assistance of the alumni Secretary, ensures that all required alumni documentation is submitted on time.
- Acts as the official representative of the Association to outside persons or agencies.
- Sign all documents on behalf of the Association.
Vice-President 1
- Plays a key leadership role within the alumni association, assisting the President in overseeing the organization's activities and initiatives. He may also preside over meetings in the absence of the President.
- Acts as presiding officer in the president’s absence.
- Vice-President 1 will lead, designate or participate in committees or groups responsible for members abroad.
- Responsible as chair for securing corporate sponsorship for an event, if necessary for matters concerning CKCCOBA abroad.
- The Vice President may assist in identifying and grooming future leaders.
- Participating in the development of long-term strategies and goals for the alumni association and helping to ensure these are implemented successfully.
- Maintains compliance with the President’s performance requirements and instructions.
- This role is a member of the Executive branch of the Association.
General Secretary
- He shall enter the proceedings of all meetings.
- He shall write and receive correspondences for the association.
- He shall record and read minutes of the association’s meetings.
- He coordinates the administrative mechanism of the association.
- He shall be a signatory to the association’s account if any.
- He shall perform any other duties assigned to him by the President.
- He shall observe strict compliance to the mission and vision of CKCCOBA.
Legal Secretary
- Serves as the attorney for the alumni.
Responsible for filing charges on behalf of the alumni on any individual or entity accordingly. - Ensures that the alumni body remains within the legal boundaries of the law of the land, school and alumni.
- Possesses all legal document as relates to the alumni.
- Maintains a high level of discreetness by keeping all information about the alumni and its members highly confidential.
- Ensures that alumni constitutions are being followed.
- Gives CKCCOBA truthful advice that takes into consideration moral, economic, social and political factors that might affect CKCCOBA's position and challenges.
- Alerts the president when it is needful to consult a professional from another field, and to find alternatives to lawsuits, such as mediation, without compromising CKCCOBA's integrity.
- Answers legal questions from people at any level.
- Reviews contracts and other legal documents.
- Upholds the highest ethical standards while maintaining confidentiality, as this role often involves dealing with sensitive legal matters and confidential information.
Financial Secretary
- Responsible for the association’s financial report to the Alumni during every general meeting.
- Ensures that the alumni body remains tax compliant.
- Responsible for financial budgeting, analysis and planning.
- Responsible for coordinating and facilitating financial audits whilst ensuring compliance with financial regulations and reporting standards.
- Responsible for managing financial documents, receipts, invoices, and records efficiently.
- Keeps financial records organized and readily accessible for audits and reporting.
Social Secretary
- He shall be in charge of all social events.
- He shall perform any other duties assigned to him by the President.
- He shall observe strict compliance to the mission and vision of CKCCOBA.
Communications Secretary (PRO)
- Plan, develop and implement public relations (PR) strategies.
Communicates with members and key spokespersons. - Liaise with, and respond to enquiries from the media, individuals and other organizations via telephone and email.
- Research, write and distribute press releases to targeted media.
- Collate and analyze media coverage.
- Write and edit in-house magazines, case-studies, speeches, articles and annual reports.
- Devise and coordinate photo opportunities.
Maintain and update information on the association's website. - Manage and update information and engage with users on social media sites such as Instagram, X and Facebook.
- Foster community relations through events such as open days and through involvement in community initiatives.
- Manage the PR aspect of a potential crisis.
